National Center for Chronic Disease Prevention and Health Promotion CDP FILE I. Descriptions of the Databases Available on the CDP CD-ROM Health Promotion and Education (HE) Database: The HE database contains health promotion and education information collected from journal articles, monographs, proceedings, reports, curricular materials and unpublished documents, as well as descriptions of health promotion programs and risk reduction interventions. The database's materials cover a wide range of topics, including community and school health education, worksite health promotion, risk reduction education, patient education, self-care, professional education and training, maternal and infant health, and research and evaluation. AIDS School Health (SA) Database: The SA database organizes the resources related to educating children and youth about AIDS to make available information on AIDS teaching materials and curricular resources to educators and other providers of AIDS education. The database contains information about a variety of resources including teaching guides and curricula; brochures and pamphlets; reports; books and book chapters; journal articles; Federal, State and Local policies and guidelines; papers, statements, and speeches; audiovisuals; and programs. Cancer Prevention and Control (CP) database: The CP database includes resources that emphasize the application of effective breast and cervical cancer early detection and control program activities and risk reduction efforts. Information is collected from journal articles, book chapters, technical reports, proceedings, papers, policy documents, legislation, monographs, unpublished documents, educational materials, curricula and descriptions of cancer prevention programs and risk reduction activities at the national state and local levels. Chronic Disease Prevention Directory (CDPD): The CDPD database includes the names and addresses of people and organizations that are key contacts in health promotion and disease prevention. State Profile Database: The State Profile database allows you to search for information on programs or key contacts by State. II. Getting Started Make sure the CDP disk is loaded in the Disk Drive. Then either type number "7" from the Government Documents Menu and hit the ENTER key; or type: cd\cdcrom At the prompt C:\CDCROM >, type: cdc This should get you into the system. MN, NT, SC, SO, and TI *************************************************************************** As you can see, it is divided into a number of different labeled fields into which search terms and other data may be entered. Section IV of these instructions will give you a more detailed description of the data fields and labels. Use the TAB key to move from field to field and the BACK ARROW key to move back. To enter a search term in a specific field, you can either type it in; or hit the F5 key and select a term from the Index Wheel that appears in the pop-upwindow. To search for a term in the Index Wheel, simply type it, or the first few characters, in the space provided. Use the ENTER key to select a term from the list. It will automatically be entered in the proper field. When you have finished entering your search terms, hit the F2 - Start Search key. IV. Descriptions of the Field Labels AN - The document's unique accession number. The first characters denote which database it is in FM - Form of the document, such as journal article, curriculum, etc. Use the F5 key for a list of all possible forms LG - Language YR - Year of publication VE - Verification date, which indicates when the record was entered into the database AU - Author's name AV - Availability information, such as the publisher or an address from which a copy of the document can be obtained SO - Source, such as a journal title, monograph title etc. SC - Subject category MJ - Major descriptors. The subject headings from the Health Promotion and Education Thesaurus. Notice that there are several different MJ fields and they are arranged with preprinted logical operators "and" & "or", so that Boolean searching is possible. Also, be aware that the Major descriptors (like ERIC descriptors) are entered with hyphens separating the component words. If you enter them without hyphens, you will bewilder the system. If you have a problem getting the system to search a Major descriptor, move the highlighter down to GLOBAL and try your term there. TI - Title of the document, article, report, etc. GLOBAL - This is your line for keyword searching. You can enter words of your own choice whether or not they appear in the Health Promotion and Education Thesaurus. The system will automatically search the fields listed at the bottom of the template, including the abstract, the title and the major descriptor V. Description of Search Function Keys Notice the function keys listed at the top of the template F1 Help - When you hit F1, a popup window will open to give you context-specific help, when you are unsure what to do next. F2 Start search - When you have entered all your search information, hit F2 to begin searching F4 Search files F5 View index - When you hit F5, a popup window appears with an index of possible search terms for the data field you have highlighted F10 Quit - This will return you to the Main Menu Ctrl-E Erase Current field Ctrl-A Erase all fields VI. The Document Display To search for documents on specific topics (or by specific authors, etc.), you enter your search term(s) into the appropriate fields in the template, and hit the F2 (Start Search) key. The system will retrieve all the documents that fit your search strategy, and present a list of titles. The arrow keys will move the highlighter through the list of document titles. The ENTER key up will bring the complete record for that document, including an abstract. Notice the Function key menu at the top of the screen. F1 - still Help F2 - Edit search. This will return you to the search template with your search terms still entered in the data fields. F3 - New search. This key will return you to an empty search emplate, so you can begin a new search F5 - Sort. Allows you to sort the list of titles by form, year of publication, title, etc. F6 - Output. Print or download your citations. See section VIII of these instructions for details F7 - Select view. This key produces a popup window from which you can choose various views of your citation. The first two, Full view (wout txt) and Full view (with txt) are the same. This is not a full text database, though maybe someday it will be. Selecting either of these will get you a complete bibliographic citation and an abstract. The other choices on the menu let you just view the list of authors, of titles, of bibliographic citations, etc. VII. Tips for Better Search Results The system assumes the Boolean operator "and" when a space is inserted between words. For example, if you enter "adolescent nutrition" in the title field, the system will retrieve all records whose titles include the words "adolescent" and "nutrition". The right truncation or wildcard symbol is the asterisk "*". The system will retrieve any record that contains a word in the appropriate field that begins with the letters you type before the asterisk. For example, if you enter the term "pregnan*" in the Major descriptors field, the system will retrieve all documents that have the descriptors "pregnancy", "pregnant-women", "pregnant-adolescents", etc. For more effective searching of the major descriptors field, refer to the Health Promotion and Education Thesaurus. This Thesaurus includes the terms or descriptors used to index the literature in the databases. Searching with terms from the Thesaurus will help you formulate more efficient search strategies. VIII. Printing Your Results Hit the F6 - Output key. A popup window will ask you to select which view you would like to print. Full view (wout txt) and Full view (with txt) are the same. There are no full text records on this database, just citations and abstracts. When you select a view, another popup window will ask whether you would like to "Write" (download) your results or "Print" them on the adjacent HP-Thinkjet printer. IX. Quitting the system We'd appreciate it if, when you finish searching the CDP-file, you quit the system and return to the Government Documents Menu. First hit the F10 key to return to the CDP Main Menu, then select option 8 - Quit. The Government Documents Menu should appear on the screen. Prepared by Mark Anderson, Northwest Missouri State Univ.
