Interlibrary Loan Lending Frequently Asked Questions (FAQ)

Corporate libraries, businesses and individuals not affiliated with the University of Michigan should contact the Michigan Information Transfer Source (MITS).
The University of Michigan offers Digitization on Demand of non-circulating, out-of-copyright library materials.

Who may use Interlibrary Loan lending services?

Lending requests are only accepted at the University of Michigan University Library if they are initiated by another library.  We do not accept requests from individuals.

We accept requests from the following types of institutions:

  • School, college & university libraries
  • Public libraries
  • Governmental libraries
  • Hospital libraries

Contact Michigan Information Transfer Source (MITS) if you are:

  • Corporate library
  • Placing a rush request

Individuals who wish to borrow University of Michigan Library materials may arrange for interlibrary loan services through their home institution's library, or their local public library. For instance, Ann Arbor residence may get ILL services through the Ann Arbor District Library.

What is needed in order to place a loan request?

When submitting a request, the borrowing library needs to include the following information:

  • Complete citation
  • Borrowing institution's complete mailing address
  • Borrowing institution's agreement to pay all applicable charges
  • Ariel or Odyssey IP if available

How do you accept requests?

We accept the following methods:

  • OCLC (symbol: EYM)
  • RAPID
  • ILLiad (Including international institutions not on OCLC)

Please note:  Lending requests are not taken over the telephone.

Does ILL Lending accept international requests?

  • Copies:  Yes, the University of Michigan gladly processes international copy requests via ILLiad, including book requests through Digitization on Demand.
  • Loans:  At this time we do not loan materials outside the US and Canada.

I'm an International Library or Non-OCLC Institution. How do I place a request?

You can submit requests through our website. First you will need to email us at ill-lending@umich.edu with your institution's contact information and a departmental email account (this will be your login). Once your account is created you will receive a confirmation email with instructions on how to proceed.

What kinds of materials are NOT available for loan?

  • Books printed before 1850
  • Video cassettes & DVDs
  • Sound recordings
  • Some mixed media
  • Most journal volumes
  • Some newspapers on microfilm and major microfilm sets
  • Any item in poor or fragile condition
  • Any holding from the University of Michigan Bentley or Clements Library

How will items be shipped?

Loans are shipped by the following methods: 

  • U.S. libraries receive their requests via UPS Ground
  • Loans to Canadian institutions are shipped through UPS
  • Special couriers are used for some consortia

Charges for these shipping methods are included in the loan fee.  The Interlibrary Loan office can ship by FedEx or UPS Air only if the requesting library provides a shipping account number.

What is the loan period for a lending request?

A typical loan period is 30 days.

How are renewals handled?

We grant one month renewals based on the original due date unless the material has been requested by a University of Michigan patron.

Do you charge overdue fees?

If an item is more than 8 weeks overdue and no effort has been made to return it, an invoice will be generated for the cost of the book plus a non-refundable processing fee. You will still be responsible for the processing fee when the book is returned to our library. If the item is returned after an invoice is generated, please contact our office at (734) 764-8584 and ask for Lending.

Is there a rush service available?

Interlibrary Loan does not provide rush service.  However, our turn around time is approximately two days for both loans and copies. If your request is time-critical, we suggest you contact Michigan Information Transfer Source (MITS).   MITS offers four levels of rush service, from One Hour to Next Day.  Please see the MITS website for information on fees and ordering.

What is ILLiad?

ILLiad is an ILL management system that borrowing libraries can use to submit and track requests as an alternative to ALA forms.  ILLiad also monitors the status of requests and allows institutions to place renewals on the ILL items they have already received.  With ILLiad status information on requests is available even when ILL offices are closed.

What are Michigan ILL Service Units?

In order to increase the speed and accessibility of Interlibrary Loans from the University of Michigan Library within the State of Michigan, the University of Michigan ILL department provides ILL service units to designated libraries and other organizations in the State of Michigan.

In 1980, the State Library disbanded the State Access Office at the University of Michigan.  The State Access Office, funded by the Library of Michigan, provided unlimited interlibrary loans to libraries in Michigan without charge.  At that time, the University of Michigan Library began offering service units, which provide free ILL service for a specific number of requests each year.  Each academic library and Region of Cooperation (ROC) in the state receives a quota of free interlibrary loans.  Public Library Consortiums (PLC) were added to the list of organizations that receive a quota of free ILLs in 1992.  The University of Michigan Library wanted Michigan libraries to borrow, without charge, materials that are uniquely held by the University.

If libraries exceed their yearly allotment of free service units, they are then charged for the ILLs.  Only Michigan libraries receive service units, and when there are charges, these libraries are charged at a lower rate than other libraries.

Each summer, Michigan academic libraries, ROCs and PLCs receive a letter from the Interlibrary Loan Office, describing the program and identifying their allotment of free ILLs for the fiscal year (July-June).  Libraries on OCLC or DOCLINE (including ROCs and PLCs) receive instructions on how to redeem service units electronically.  Service units are only valid for the fiscal year in which they are issued.

Taubman Medical Library ILL also accepts the service units from Cooperative Access Services ILL (located in the Hatcher Graduate Library).
