Using Extract with Census CD-ROM Disks MAIN MENU 1. Select Items 6. Display to Screen 2. Select Records 7. Print 3. Add Labels 8. Extract Data to a File 4. Select an Index 9. Return to File Selection Menu 5. Format Options 10. Advanced Options Q to Quit H for Help Step One 1. Choose Select Items. This option is used to select the variables you want to appear in your report. (Unless you are going to down- load information in database form, you do not need to choose thevariables presented first in the menu). Choose the variables you wish to appear in your report by placing an X next to that item. 2. When you have chosen all the variables you need, press Escape (ESC). Step Two 1. Choose Select Records. This option is used to select those features which will define or limit your search (i.e. limiting by summarylevel, SIC Code, FIPS Code, etc.) 2. With the Decennial Census disks, always choose SUMLEV as one option. Two is the maximum number of delimiters you can choose. 3. Place an S by the option(s) which will define your search. Then press ESC. * For any search in which you select more than one-three choices(census tracts, counties, cities, etc.), you must choose R (Range). This is not explained in the Extract documentation, but it is one of the quirks of the software. Step Three 1. Choose Add Labels. Some files allow users to identify labels, such as geographic area names. 2. Use the cursor (arrow) key to move to the label you need. Press ENTER. You will then be moved to a second screen, where you will make a selection. Once again, press ENTER. Step Four 1. Select an Index. Refer to Extract Documentation p. 9. (For most searches, this step could be left out) Step Five 1. Choose Format Options. This option is used to change the format of printouts and displays. The default format option is columnar. This is good if you are going to download for import into a spread- sheet. 2. For screen display or printouts, choose option 2. Press ENTER, then ESC. This will put the screen display or printout in row-wise format, which is much easier to read. Step Six 1. Choose which display option you want to use, either Display to Screen, Print, or Extract Data to File (Downloading a file). 2. If you want to Display to Screen, choose number 6 and press ENTER. 3. To Print, choose number 7 and press ENTER. 4. To Extract to a File, choose number 8 and press ENTER. You will be asked to choose between downloading in .DBF (Dbase), .PRN (Lotus), or .SDF (Ascii) format. Refer to Extract documentation, p 12. Step Seven 1. When you are ready to quit, enter Q and press ENTER. 2. If you want to make other selections, press number 9, Return to File Selection Menu. 3.
